Enrollment & Program Terms

Nature of the Academy

Zeluchi Charles Academy of Creativity & Art (ZC Academy) is a faith-centered, legacy-formation based creative institution committed to developing:

  • Creative skill and mastery
  • Identity, discipline, and excellence
  • Purpose-driven expression

Programs extend beyond technical instruction into holistic formation, shaping both skill and character through structured and intentional learning.

Admissions & Enrollment

Enrollment is open to children, teens, and adults, based on program structure and discipline requirements.

Enrollment is confirmed upon:

  • Completion of required registration documentation
  • Payment of applicable fees (fee deposit)

ZC Academy reserves the right to:

  • Limit class sizes
  • Structure cohorts
  • Determine placement

This ensures quality instruction, safety, and individual attention.

Enrollment Commitment

Enrollment signifies commitment to the full duration of the program or selected level.

Participants are expected to:

  • Attend consistently
  • Engage actively
  • Participate fully in all learning activities

Enrollment is structured as a cohort-based learning experience, where each session builds progressively within a defined formation level or track series in the discipline. As such, consistent participation is essential to maintain learning continuity and overall formation.

Failure to maintain participation standards may result in review of continued enrollment.

Program Structure

Programs are delivered through structured formats, including:

  • Bi-weekly weekday sessions
  • Weekend sessions (Saturday format)

Schedules are communicated prior to program commencement and must be adhered to.

Fees & Payments

Program fees must be paid according to the selected payment structure before the start of each level or stage.

Initial deposit of 30% of the total fees per level or track series is required to secure enrollment. This is considered as the Enrollment fee.

Deposits secure:

  • Interest and spot for each cohort
  • Academy's commitment and resources

Fees cover:

  • Instruction
  • Guided practice
  • Mentorship
  • Use of Academy resources (unless otherwise stated)

Additional material fees (if applicable) will be communicated in advance.

Outstanding balances may result in:

  • Temporary suspension from sessions
  • Restricted participation until resolved

Attendance & Missed Sessions Policy

Regular attendance is required to ensure:

  • Continuity
  • Skill progression
  • Depth of learning & Mastery
  • Certificate collection

Participants are responsible for attending all scheduled sessions.

Missed Sessions

Missed sessions are not refundable and are generally not transferable, as each session forms part of a structured and progressive learning experience.

However, in the interest of supporting learning continuity, the Academy may, at its discretion, provide limited support through one or more of the following:

  • Access to session summaries or guidance (where available)
  • Opportunity to attend a make-up session within the same program cycle (subject to availability)
  • Alternative learning direction as determined by the instructor

Make-Up Session Policy

Make-up sessions are:

  • Subject to scheduling availability and program structure
  • Limited
  • Not guaranteed
  • Must occur within the same program cycle
  • Cannot be carried forward to future programs or cohorts

Non-Transferability

Program sessions are:

  • Non-transferable to other individuals
  • Non-convertible to credit or monetary value

Enrollment secures access to a structured learning experience, not individual interchangeable sessions.

Learning Environment & Conduct

ZC Academy maintains a structured, respectful, and purpose-driven environment.

Participants are expected to:

  • Conduct themselves with respect, discipline, and integrity
  • Follow all Academy rules, guidelines, and instructor direction
  • Engage in a positive, cooperative, and teachable manner

Prohibited Conduct

The following are not permitted:

  • Bullying, harassment, or intimidation
  • Disruptive or disrespectful behaviour
  • Misuse of tools, materials, or facilities
  • Any conduct that compromises safety, values, or learning

Disciplinary Action

Failure to comply may result in:

  • Verbal guidance
  • Written notice
  • Temporary suspension
  • Further action as determined by Academy leadership

All disciplinary measures are administered with the goal of: correction, growth, and restoration.

Safety & Facility Use

  • All safety instructions must be followed at all times
  • Tools and equipment may only be used under supervision
  • Students must respect all shared spaces and materials

The Academy reserves the right to restrict access where safety or misuse concerns arise.

Health & Wellbeing

  • Students should not attend sessions when unfit to participate, as undivided attention is needed to learn during each class
  • Medical conditions, allergies, or special needs must be disclosed during registration

The Academy may pause participation where health or safety is at risk.

Certification

Participants may receive:

  • Certificate of Participation
  • Certificate of Completion

Based on attendance, engagement, and fulfillment of program requirements.

Parent / Guardian Partnership

For minors, the Academy maintains a collaborative relationship with parents/guardians.

Parents/guardians are expected to:

  • Ensure timely drop-off and pick-up
  • Reinforce Academy values
  • Maintain respectful communication
  • Support the student's development

Communication

  • Official communication is shared through approved Academy channels
  • Concerns or grievances must be directed to Academy leadership for resolution

Withdrawal & Refund Alignment

  • Program fees are governed by the Refund & Cancellation Policy
  • Withdrawal does not automatically qualify for refund or credit

Academy Authority

ZC Academy reserves the right to:

  • Maintain program standards
  • Enforce policies
  • Make decisions regarding participation and continuation

All decisions are made in alignment with:

  • Safety
  • Learning integrity
  • Academy values

Refund & Cancellation Policy (All Divisions)

Policy Overview

Zeluchi Charles operates across multiple service-based and product-based divisions, each delivered with a commitment to excellence, intentionality, and transformation.

Due to the customized, creative, and service-oriented nature of our offerings:

All payments made to Zeluchi Charles are considered final and non-refundable unless explicitly stated otherwise.

This policy ensures the protection of time, resources, craftsmanship, and planning invested into each client engagement.

Deposits & Booking Commitments

  • All deposits are non-refundable
  • Deposits are required to secure:
    • Production timelines
    • Consultation or Academy slots
    • Creative planning and resource allocation
  • Deposits or bookings signifies commitment from both the client and the brand

Failure to proceed after confirmation does not constitute grounds for refund, however concession could be made by the brand in accordance to internal policies, based on verifiable reasons presented by the client.

Service-Based Work

  • Once a service has commenced, it is non-refundable
  • Completed services are not eligible for refund under any circumstances

Where necessary, the brand may offer reasonable adjustments or refinements within the agreed scope. These do not constitute a re-performance of the service.

Cancellations, Rescheduling & Missed Appointments

Clients are required to provide reasonable notice for cancellations or rescheduling.

Late cancellations may result in:

  • Forfeiture of deposits
  • Additional rescheduling fees
  • Re-enrollment fees

Re-booking or re-enrollment is subject to availability and approval.

Missed appointments or slots without prior notice may result in:

  • Loss of booking
  • Additional charges
  • Reduced priority for future scheduling

Considerations or concessions are possible when communication or prior notice is received by the brand. The brand holds the right in accordance to internal policies, to consider or rescind.

ZC Academy (Programs & Enrollment)

All program fees are non-refundable once the program has commenced.

Withdrawal after commencement does not qualify for:

  • Refund
  • Credit
  • Transfer (unless approved under exceptional circumstances)

Exceptions, where granted, are at the sole discretion of the Academy.

Exceptional Circumstances

Requests for exceptions (if any) are:

  • Reviewed on a case-by-case basis
  • Not guaranteed
  • Subject to brand discretion

Approval of any exception does not establish precedent for future cases.

Brand Authority

Zeluchi Charles reserves the right to:

  • Interpret and apply this policy
  • Make final decisions on all refund, cancellation, and all aspects of internal policy

  • Brand standards
  • Service integrity
  • Commitment to excellence

General Principles

All services across Zeluchi Charles are governed by the following principles:

  • Intentional service delivery
